Match My Project

Create a grant budget reviewers can check

Calculate project costs, document assumptions, and reconcile the budget with the narrative.

Start with activities and allowable costs

Read the funding notice and budget instructions before selecting categories. List the activities in your work plan and the resources each requires. Separate personnel, benefits, supplies, travel, contractors, equipment, and indirect costs only where the funder's form permits them. Do not reuse another funder's categories without checking.

For each line, show quantity, unit cost, period, and the basis of estimate. Personnel might use an hourly rate multiplied by project hours; a contractor might use a written quote for defined deliverables. Include benefits separately when required. Record the quote or rate date so a reviewer can judge whether the estimate is current.

Handle restrictions and contributions explicitly

Check the rules for indirect costs, equipment thresholds, subcontracting, and matching funds. Do not assume there is a universal allowable indirect-cost rate. Use the rate and calculation base accepted for this opportunity. Identify which costs are charged to the grant and which are paid from other confirmed sources.

Keep proposed matching funds separate from secured commitments. If in-kind contributions are permitted, document the valuation method and avoid counting the same contribution twice. Review reimbursement arrangements with your finance lead: a balanced project budget does not guarantee the cash flow needed to start work.

Reconcile totals and write the justification

Use the budget worksheet to calculate each line and sum the request. It is a CSV planning tool, not an automated calculator; add formulas in your spreadsheet application and independently check them. Reconcile the total with every place it appears in the application. Check rounding, currency, tax treatment, and the requested project period.

Write a short justification explaining what each cost buys and why it is necessary for delivery. Cross-check staff effort against the timeline and the narrative. Ask finance to review arithmetic and restrictions, and ask the project lead to confirm that the budget can deliver the proposed outcomes. Remove expenses that are not allowed rather than hiding them in another category.
