Review a grant application before submission
Check instructions, attachments, approvals, and portal receipts before the deadline.
Create a requirement-by-requirement checklist
Use the current funding notice and portal instructions to list every required answer and attachment. Include file format, page or word limits, naming conventions, signatures, and any required registration. Assign an owner and a reviewer to each requirement. A completed narrative is not a complete application when required attachments are missing.
Confirm the deadline's date, time, and time zone, including whether the portal uses local or funder time. Plan for registration or authorization delays before the submission day. Put an earlier internal deadline on the team calendar and define who has authority to submit. Do not share passwords as a substitute for the portal's authorized-user process.
Review the final files, not just the drafts
Export the application in the required format and inspect the exact file you will upload. Check page count, font size, tables, links, headings, readable text, and whether the file opens normally. Compare budgets and partner names across attachments. A successful export does not prove that the package satisfies every instruction.
Have a second reviewer check the final package against the checklist. Record unknowns as unresolved rather than passed. Confirm that letters are signed where required and that the submitted documents are approved versions. Keep a local copy of the package and the approval record without placing sensitive participant data in public folders.
Verify delivery and retain evidence
After uploading, inspect the portal's preview and validate the application where that function exists. Uploading files and saving a draft are not necessarily submission. Complete the final submission step, then retain the confirmation number, receipt, time, and submitted file set. Check whether a separate authorized representative must approve the package.
If a receipt is missing or the portal reports an error, consult the official support instructions immediately and preserve screenshots or messages. Do not assume a deadline extension. Update your team's tracking record with the actual status and confirmation evidence. Use the submitted version, rather than later working drafts, as the baseline for award negotiations and reporting.
